Privacy Notice

Flowmoon is a digital creative studio based in the UK. We respect your privacy and are committed to protecting your personal data.
This policy explains what we collect, how we use it, and your rights. It applies to www.flowmoon.com and any services we provide.

Who we are

Flowmoon (“we”, “us”, “our”) is the controller of your personal data. We are based in Kent, United Kingdom, and operate remote-first. Our legal name is Flowmoon Limited, company number 07696604. You can reach us for privacy matters at hello@flowmoon.com

If you are in the UK, you can raise concerns with the Information Commissioner’s Office at ico.org.uk. If you are in the EU, you can contact your local data protection authority.

The data we collect

When you visit our site or get in touch, we collect the details you choose to share such as your name, email, phone, company and role, along with project information including briefs, goals, timelines, budgets, links and any files you upload. We also keep a record of our communications and the documents needed to prepare proposals, statements of work, invoices and payments. Our site collects technical and usage data such as IP address, device and browser type, pages viewed, referral source and general location. We do not seek special category data or information about children. Please do not include sensitive personal data in briefs or uploads. If you share personal data about someone else, you should have their permission.

File uploads and production files. Project assets and deliverables you provide may be stored in Dropbox for secure storage and transfer, and may be processed through Adobe Creative Cloud as part of our design, motion and animation work.

How we collect data

Directly from you by email, phone, meetings, or site forms.
Automatically from your device when you use our site, via cookies or similar tech.
From third parties, for example referrals or public sources like LinkedIn when relevant to a potential engagement.

Why we use your data and the legal bases

To respond to enquiries and discuss a project, including preparing proposals and estimates.
To deliver our services, manage projects, and communicate progress.
To operate and improve our website and services, including analytics and troubleshooting.
To comply with legal and tax obligations.
To protect our business, for example preventing fraud or defending claims.

Sharing your data

We share personal data only when necessary to run the studio and deliver your project. This includes our service providers for hosting and cloud storage, website and form tools, email and CRM, analytics, invoicing and payments, project management and file transfer. We may share data with creative partners or subcontractors where required, with professional advisors such as accountants or lawyers, and with authorities if the law requires. Our providers must keep data secure and use it only on our instructions.

Some providers, including Dropbox and Adobe Creative Cloud, may process data outside the UK or EEA. When this happens we rely on recognised safeguards such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses. Details are available on request.

We will securely delete or anonymise data when retention ends.
